Setting up the Standalone Timeclock

Once you've set up your Timeclock, you need to decide how you would like it to be used by your team members as outlined in this article. Here we will walk you through how to set up the standalone timeclock, which negates the need for your team members to have to log into their employee portals. for timeclocking purposes.


Once your turn on Timeclocks, you will notice a new menu option on the left menu bar:

Clicking this will open a new browser tab with the Timeclock portal in it.  The idea here is that you could have a computer or tablet logged onto this external URL at the entrance to your building, which will allow people to enter their code, thereby clocking in/out, as they pass by.

The portal is very simple, and will look like this:


You can customize the portal to suit your own branding.  To make changes to the default user interface, head to Timesheets > Configure > Clock Portal. Below you can learn about the different options available to you:


Company Logo and Name

This allows you to stipulate whether you wish to show your company name and/or logo at the top of the Clock Portal.

Timeclock Entry Screen Colours

Here you can select the pantones you wish to use for the clock portal, to suit your branding guidelines.

Timeclock Header Text

You can place a standard message at the top of the clock portal - this can be for important company notifications that your staff need to be aware of, or simply seasonal greetings.


Threshold (in minutes) for expectable clock entries

This allows you to specify the threshold is the minimum number of minutes apart that the clock IN and clock OUT events have to be for each employee.  For example, if you set it to 2 minutes, then if the employee clocks OUT within 2 minutes of clocking IN, then the clocking entries will be ignored.  This is to prevent any accidental clock ins (which are reversed immediately) from cluttering up your timesheet data.


Message Delay

Each time an employee clocks IN or OUT of the system, a confirmation message will be shown to them on screen.  You can have this message auto dismiss after a few seconds so that the system is ready to take the next clock entry.

Authentication Code

Because the timeclock portal is accessible on the internet publicly, you may want to increase security a little by adding a password before the clocking portal can be accessed.
