Advanced Tools - Recalculate Leave Return Dates or Durations
HR Partner has housekeeping routines for changes made within the Time Off & Leave feature. These routines can make updates and rectify the system changes you’ve made. Specifically, one area you can run a housekeeping routine for is to recalculate leave return dates or durations.
You can use our housekeeping routines by going to Setup > Tools > Advanced. Then, look for the section with the heading 'Leave Updates'.
Recalculate Leave Return Dates or Durations
This routine will recalculate employee return dates or durations in any entered leave transactions in the system. Use this routine ONLY if you have made changes to your employee working day templates, altered public holidays, or added extra public holidays, which may affect leave durations.
When to Use This Tool
Let's say you’ve added an additional bank holiday that applies to all employees. An employee was on vacation for a full week (Monday - Friday), using five days of annual leave. With a newly-entered bank holiday in the middle of the week on that Wednesday, the 'recalculate leave return dates' housekeeping routine has two options.
One option would be to make changes to the duration of the leave. This would mean that you need to change the duration of the leave, but keep the return date the same. When running this routine, you would select the option to make changes to the duration of the leave. This would honor the employee’s request to take Monday - Friday off, but take into consideration the holiday in the middle of the week, making the duration of their leave four days instead of five.
The other option would be to make changes to the return date. This would keep the duration amount of five days, but shift the dates to not include the public holiday (in this case, the employee would be returning on the following Tuesday).
To use this housekeeping routine, select ‘See Options’ for ‘Recalculate Leave Return Dates or Durations’, select the employee you wish to recalculate their leave, pick the date that you wish to calculate from (this can be in the past), and then select if you wish to make changes to the duration or return date of leave.
NOTE: This routine may take a long time to run if you have a lot of employees.
