Time Off and Leave Reports

There are three reports relating to Absence and Leave that may be especially helpful to those in HR responsible for managing your staff's leave. One report goes over leave that has been taken, and the other captures your staff's current leave balance amounts. We also have a third report, the Absence Analysis reporting chart, which you can read more about in this article.


The Absence/Leave Report

The Absence/Leave Report is found in Reports, then under the Time Tracking & Leave section.

This report allows you to assess what leave has been taken by your staff. You can add parameters such as examining a specific department, position, or other employee grouping category, date ranges, leave policy types, and absence statuses. Once you've added your parameters, you can export this data for further examination by scrolling down to the bottom of the page and selecting the 'Print' icon for a PDF, or the arrow and selecting 'Export to CSV'. You can also select the 'Download Attachments' option if your employees add documentation for certain leave types to be approved.



The Availability Report

This report is found by going to Time Off and Leave > Availability, and selecting "Actions" on the top right and "Export to CSV". On the Availability page, you see the leave balance table for every employee and all policies tied to your employees that are set to track balances.

The purpose of the Availability Report is to have a CSV of all of your staff's leave balances at that point in time. Aside from seeing your employees' current balances, another instance when we recommend you to export this data is before you run the Housekeeping Routine 'Verify Leave Policy Permissions and Restrictions'. The reason for this is that running that routine refreshes your leave balance table. If there happened to be any leave policies that were set not to track balances showing on your balance tables before running that routine (which there shouldn't be), they will be gone after running the routine and they cannot be brought back in view or in the Audit Trail. Exporting the Availability Report beforehand ensures you have the balances stored against ALL policies currently displayed in the leave balance table saved in a spreadsheet as a safety net.
