Understanding Dates on Job Listings

When creating a job listing in HR Partner, there are 3 dates that you will be asked for which will determine how the job listing is handled and made visible within your company job board, as well as on external job boards that you might have integrated with.

Around the middle of the Job Listing edit screen, you will be asked for these dates:

Publish On - This is the date that the job will be made visible on your company job board, and also marks the date that we will begin pushing the job listing out to any integrated third party job boards. You can put a future date in here if you are not yet ready to hire, but want to create a listing that will go out in the future. You can also leave this date blank to begin publishing it immediately.


(Publish) Until - This is the date that we will remove the job listing from your company job board, and stop feeding it to externally integrated job boards as well. This date MUST be greater than the Publish On date, or can be left blank to leave the job listing perpetually active (not recommended).


Closing Date - This date determines when the job listing will be automatically deemed Inactive in our system. Generally this is a few days or weeks after the Until date above, which will give your team time to still move applicants through the recruitment pipeline and send them emails etc. after the listing has been taken down.

NOTE: Generally, these dates are optional, and you can leave them all blank for a perpetual job listing, however if you are integrated with an external job board then you MUST enter all three dates as most third party job boards do not handle perpetual job listings.

Receiving Applications

Your job listing will not be displayed on your company job board (or pushed to external job boards) until the current date either falls between the Publish and Until dates, or the two dates are left blank.

So you can expect to start receiving applications as soon as your job listing is shown on your company job boards, or third party job boards as above.

Please note that external job boards may have a delay of a few days before they initially publish your listing on their own system, as well as a delay in removing the listing after the Unpublish date, so you can expect some 'late' applications from those external job boards after your job listing has been taken down.

Emailing Applicants

The ability to email applicants will begin from the Publish On date, and will continue to be active until the Closing Date. This will allow you to still email and converse with applicants after the job listing has been taken down, as the process of actually vetting applicants and moving them through the pipeline could take extra time.

Outside of these dates, both outgoing and incoming email messages will be blocked to prevent spam applicants or additional confusion.

Please note that if you leave all the dates blank, then the job listing will be deemed as a perpetual listing and the emailing capability won't be turned off which increases the risk of spam emails from applicants or outside agencies.
