Xero: Integrating Timesheets
If you are using the Timesheet module within HR Partner, and you also use Xero, you are able to send the total number of hours worked per day to Xero within just a couple of clicks! It's really important to note that for this to work, your HR Partner Timesheet Sequences have to align exactly with the Xero pay periods and frequencies.
The first thing you need to do is enable this function by heading to Employees > Import > Integration on the left-hand menu, then check the box "Send timesheets to Xero" and hit the "Save" button:
Note
You can only send sequences back to Xero if all timesheets within the Sequence are "Accepted" and the sequence has been "Locked". This means you will need to ensure that everyone has submitted their timesheets in the sequence, and that all hours are correct and approved by the relevant Admin User. Then you can lock the sequence in preparation for sending to Xero.
Now if you view a locked sequence, and hit the "Sequence Action" button you will see an option there to send the sequence to Xero:
Warning
Be careful that you don't choose this option multiple times as you could double or triple up the time sent to Xero which will have to be manually corrected in Xero.
Note
We do not differentiate between normal time and overtime because the feed can only send over a total number of hours per day. The default time type is 'Ordinary Hours' though you can change this if necessary when enabling the function.
If you need to split someone's hours over multiple earning types, it will have to be done manually in Xero after the hours are pushed across there.
If you are using Projects and/or Activities with Timesheets, these entries cannot be pushed to Xero at this stage.
