Bulk Updates to Employee Records

Do you need to edit information for a group of employee records at once? Or even all of your employees?

Whether it's recording a company-wide training or booking office closures as a company-wide holiday, we have a great Bulk Update tool which will be a huge time saver for you!

From your Admin homepage, head to Employees > Data > Bulk Update which is where you'll see the below screen, asking you which employees this particular update applies to. Like other areas of the system, you are able to either apply to all, select specific employees or filter by Department, Location, Status, Position or Tag. See here:

Once you have made your selection hit "Next". This will take you to the screen shown below, which allows you to choose what you would like to update.

In the top half of the list, you'll see that you can update certain aspects of an employee record such as who they report to, their working day template or their timesheet template. In addition, you can also choose to add or remove tags in bulk, which can be particularly useful for those of you who wish to restrict leave policies by tag.

Scrolling a little further down this list, you'll notice that as well as editing employee record information, you can also make mass entries against submodules. This means you can apply Notes, Absences, Assets, Benefits, Renewable Documents, Skills and Training to multiple employee records at once:

Please Note:

This function adds the exact same information to every record it updates. Because of this, you do not have the option to add certain information that you may be able to add from the submodule directly. To better understand this let us use the example of adding a laptop as an employee Asset. This tool will allow you to record that everybody has been given a laptop on a specific date. However, you may still wish to go into each employee record later to populate the asset identifier or upload any necessary attachments, as these will be unique for each employee.

As an example, here we show the screen where you would enter the details for assigning a certain type of Asset to a group of employees;

Once you've added employee information in bulk, it is not possible to remove it in bulk - so please be careful!
