Xero: Disconnecting the Integration

There are times when your Xero payroll integration may become permanently disconnected through no action of your own. This can happen when:

  • The Xero API server has intermittent problems causing a timeout when our system tries to sync data
  • Your authentication token may have been marked 'expired' by Xero
  • The Xero user who initially used their credentials to connect HR Partner to Xero may have had their permissions changed in Xero so that they are not able to see Payroll data any longer, or they are set to lesser permissions than a 'Standard' user in Xero.

Our system regularly polls your Xero company to check if the connection is still active, and if we detect that we cannot access your Xero payroll data any longer, then we usually send you an email advising you of the problem.

Should this situation arise, we strongly recommend that you perform a FULL disconnect from both systems and re-establish the connection again from scratch for best results. Please note that BOTH Xero and HR Partner tend to keep connection information, and sometimes only one side may get corrupted or lost, resulting in a connection issue.

The first thing to do is to check your HR Partner Company System Log to see if you can identify why the connection may have dropped. To do this, go to Setup > Tools > System Log, and there may be some error messages here related to your Xero connection that may give us more information relating to why the connection failed. Please let our support team know of any errors that you notice here. Otherwise, you may continue with the below steps.

Performing A Full Disconnect from Xero

The first thing is to check the HR Partner side to see if our system still thinks you are connected.  Go to Employees > Data > Integrations and see if there is a red 'Disconnect from <your Xero company name>' button on there.

If there is, please click the red button to disconnect your current connection from the HR Partner end.

Next, you will need to disconnect the connection from the Xero end. To do this, please log into your Xero Payroll company as you normally would from https://my.xero.com

Next, click on your company name in the top left of your Xero screen and from the pull-down menu that appears, and choose ' Settings'.

Now on the Organisation Settings screen, choose ' Connected Apps'.

Now on the list of Connected apps, look for ' HR Partner' on the list.

Click the ' Disconnect' button on the right of the name to perform a disconnection on the Xero end.

NOTE: If you see multiple instances of 'HR Partner' on this list, make sure you click Disconnect on each of them.

Next, we highly recommend that you log completely out of Xero before re-establishing the connection again.
